KPT Industries LLC, doing business as ZoomRoom ("KPT Industries," "ZoomRoom," "we," "us," or "our"), operates the zoomroom.io website, tenant-branded booking portals, and related mobile applications (collectively, the "Service"). This Privacy Policy explains what information we collect, how we use it, and the choices you have. By using the Service you agree to the collection and use of information in accordance with this policy.
1. Information We Collect
1.1 Information You Provide
- Account information: first name, last name, email address, phone number, company name, and password when you create an account
- Booking information: reservation details including date, time, space selected, notes, and guest email addresses you choose to invite
- Payment information: processed securely by Stripe — we never store your full card number on our servers
- Communications: messages you send to our support team
1.2 Information Collected Automatically
- Usage data: pages visited, features used, booking activity, and timestamps
- Device information: browser type, operating system, and device identifiers
- Log data: IP address, access times, and referring pages
- Cookies: session cookies for authentication and preference cookies for your settings
1.3 Information From Building Administrators
If your company is a building member, your office administrator may create an account on your behalf using your name and email address. Your administrator also controls which spaces you can book and your monthly hour allowance.
2. How We Use Your Information
- To create and manage your account
- To process and confirm your reservations
- To send booking confirmations, access information, calendar invitations, and reminders
- To process payments through our payment processor Stripe
- To send guest invitations on your behalf when you invite others to a booking
- To provide customer support
- To improve and maintain the Service
- To detect and prevent fraud or abuse
- To comply with legal obligations
We do not sell your personal information to third parties. We do not use your information for third-party advertising.
4. Data Retention
- Account data is retained while your account is active
- Booking history is retained for business records and tax purposes
- Payment records are retained as required by financial regulations
- You may request deletion of your data at any time — see Section 6
5. Data Security
- All data is transmitted over encrypted HTTPS connections
- Passwords and authentication credentials are protected using industry-standard security measures, including secure hashing where credentials are stored by us and trusted authentication providers where third-party sign-in is used
- Payment card data is handled exclusively by Stripe and never touches our servers
- Access information such as door codes is only revealed to confirmed bookers
- Authentication tokens are signed and expire automatically
No method of transmission over the internet is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.
6. Your Rights and Choices
6.1 Access and Update
You can access and update your profile information at any time by signing in and visiting your profile page.
6.2 Data Deletion
You have the right to request deletion of your personal data. To request deletion:
- Visit zoomroom.io/delete-account and submit a deletion request, or
- Email privacy@zoomroom.io with the subject line "Data Deletion Request" from the email address associated with your account
We will process your request within 30 days. Some information may be retained as required by law, such as payment records for tax purposes. Deleting your account does not automatically cancel upcoming reservations — please cancel those separately first.
6.3 Marketing Communications
We only send transactional emails related to your bookings and account. We do not send marketing emails without your consent.
6.4 Cookies
You can configure your browser to refuse cookies, but some features of the Service such as staying signed in will not function properly without them.
7. Children's Privacy
The Service is not intended for anyone under the age of 18. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us at privacy@zoomroom.io and we will delete it.
8. International Users
The Service is operated from the United States. If you access the Service from outside the United States, your information will be transferred to and processed in the United States where data protection laws may differ from those in your jurisdiction.
9. California Privacy Rights
If you are a California resident, you have the right under the California Consumer Privacy Act (CCPA) to request disclosure of the categories of personal information we collect, request deletion of your personal information, and not be discriminated against for exercising these rights. We do not sell personal information as defined by the CCPA. To exercise these rights contact privacy@zoomroom.io.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the new policy on this page and updating the Last Updated date. Continued use of the Service after changes constitutes acceptance of the updated policy.
